ESD Group uses iCloud Calendars for managing appointments with Todd and managing information about important events.

Here are instrucitons on how to set up you iCloud calendars and how to use them

How To Sign up for ESD's Calendars


1. Create an Apple-ID (skip this if you have one)
- Go to https://appleid.apple.com
- Click on "Create ID", fill the form

2. Activate iCloud
- Log in to a Mac.  If you don't have an account on a mac then talk to
Willi.
- In "System Preferences", go to Internet&Wireless, select iCloud
- sign in with your newly created Apple-ID
- you should now be able to log in at http://icloud.com/

3. Send Todd the e-mail-address you used to create your Apple-ID. When receiving an invitation to the Calendars, accept. Todd will respond to you when you should be able to see his calendar for times he is available to meet.

You should be invited to at least two calendars, TE Available to meet and Group Events

Calendar Usage


Creating and modifying events:
When logging in with your Apple-ID at http://icloud.com/, you should now be able to see, modify and create events in the ESD Calendars. You can access the calendar either through a web browser at the previous URL, or if you log on to a Mac where you apple ID is entered (e.g. step 2 above) then you click on the iCal (apple calendar program) and make appointments that way. 
To create an event from the http://icloud.com/ web page, select Calendar after logging in, select the date and double-click to create a new event. With the button next to the event name, select "TE available to meet Calendar" and modify the details (name, time, etc.) to your desired values. After clicking "OK", the event is created and can
be seen by all users.
Alternatively - should be able to create a new event and as long as you select that it belongs to the "TE available to meet Calendar" it should work(!).

What to enter in the Calendars:

Group Events takes everything that is relevant to the group, for example scheduled meetings, times people are out of office (for field work, home office, conferences, vacation etc.), server maintenance etc.

In TE Available to meet Todd will post time slices when he has time for meetings in his office. People can sign up to meet with him by adding an event "Meet <Name>" at the available times, so everyone can see this slot is taken.
Please follow this rules when signing up:

  1. Please only sign up for <60 minute time slots in each week.
  2. If you sign up to meet with Todd please make sure you are prepared and have figures and plots to discuss with me so the time is well used.
  3. Do not feel like you have to meet with Todd every week. Some of you need to meet with him more than others (this is not a problem), so sign up to meet with himm as much or as little as you need to. As a general rule - Todd should talk to all of you at least every two weeks, even if it is for only 15 minutes.
  4. DO NOT send Todd requests by email to set up a meeting time. USE THE CALENDAR!  This way he can also manage times better when he's out of town or has other meeting conflicts.
  5. WHEN YOU SCHEDULE MEETING TIMES WITH TODD, please try and fill in gaps in the calendar next to other appointments.  It greatly helps him if he meets with multiple people in a row rather than having breaks between appointments.
